This Privacy Policy constitutes a legal agreement and complies with the Federal Decree-Law No. 45 of 2021 Regarding the Protection of Personal Data ("Data Protection Law") and applicable law/regulation which provides a framework to ensure confidentiality and protection of information and privacy of personal data of employees and authorized users of the AFC Hub Staff App.

  • Definitions:
    • Data: An organized or unorganized set of information, facts, concepts, instructions, observations or measurements in various forms.
    • Personal Data: Any data relating to an identified natural person, directly or indirectly.
    • Sensitive Personal Data: Information revealing a person's race, ethnicity, beliefs, health, etc.
    • Biometric Data: Personal data resulting from specific technical processing relating to physical, physiological, or behavioural characteristics.
    • Data Subject: The natural person (employee or staff member) to whom Personal Data relates.
    • Establishment: Any company or individual incorporated inside or outside the State.
    • App: The AFC Hub Staff App, a mobile application designed to support employees with workplace services and communication tools.
  • Application:
    • This Privacy Policy governs the use of Personal Information upon first use of the AFC Hub Staff App. Continued use implies acceptance of its terms.
    • This policy applies to all employees, staff members, and authorized users who access the App.
  • Information we collect:
    • Personal Information voluntarily provided by the employee at registration or profile setup (e.g. name, employee ID, contact details, job title, department).
    • Employment-related data including leave requests, document submissions, and request histories generated through the App.
    • Information received from the organization's HR systems, management, or other authorized internal sources.
    • Device and usage information collected automatically to maintain App performance and security.
  • Purpose of Data Collection:
    • To enable employees to submit and track workplace requests such as leave requests and document access.
    • To provide access to personal employment records and company documents in a secure environment.
    • To facilitate the company directory and staff connectivity across departments.
    • To deliver real-time announcements, HR updates, and organizational notifications.
    • To allow employees to access company policies, guidelines, and resources.
    • To support employee engagement through workplace activities, events, and team highlights.
    • To enable secure profile management and keep employment information up to date.
  • Confidentiality:
    • Personal data may be shared with affiliated companies and trusted third-party partners only to the extent necessary for providing App services and workplace operations.
    • All parties receiving personal data are required to maintain appropriate confidentiality obligations.
  • Storage:
    • Data may be stored on secure servers, which may be located outside the Middle East, with your consent and in accordance with applicable data protection laws.
  • Processing Of Personal Data:
    • Processing must be fair, transparent, and lawful, with clear purposes directly related to employment and the use of the App.
    • Personal Data must be adequate, correct, secure, and not stored beyond the purpose of Processing.
    • Employees retain rights over their personal data, including the right to access, correct, and request deletion where applicable under law.
  • Personal Data Protection Controls:
    • The Processing of Personal Data must comply with specified rules and regulations under UAE law.
    • Access to employee data within the App is role-based and limited to authorized personnel only.
  • Security:
    • User accounts are protected by secure authentication mechanisms, and reasonable technical and organizational security measures are implemented to safeguard employee data.
    • Employees are responsible for maintaining the confidentiality of their login credentials and should not share access with unauthorized persons.
  • Non-Personal Data:
    • Certain non-personal information such as aggregated usage statistics and device metadata may be collected to improve App performance and operational reliability.
  • Cookies:
    • The App may use session tokens, local storage, and analytics tools to collect aggregate information about App usage to improve functionality and user experience. No advertising cookies or third-party tracking for commercial purposes are used within the App.
  • Governing Law:
    • This Privacy Policy is governed by the laws of the United Arab Emirates, including Federal Decree-Law No. 45 of 2021 Regarding the Protection of Personal Data.
  • Review of the Privacy Policy:
    • This Privacy Policy may be reviewed and updated periodically. Employees will be notified of any material changes through the App or via official communication channels.
  • Third Party Services:
    • The App may integrate with or link to third-party services. Use of such services is subject to their respective privacy policies and terms. We are not responsible for the privacy practices of third-party platforms accessed through or alongside the AFC Hub Staff App.
  • Severability:
    • Each provision of this Privacy Policy is severable, and the unenforceability of one shall not affect the others.
  • No Waiver:
    • No failure or delay in enforcing any right or remedy in this Privacy Policy shall constitute a waiver.
  • Data Retention:
    • Personal data is retained for the duration of employment and for any additional period required for legitimate legal, HR, or business purposes, and in compliance with applicable UAE law. Upon termination of employment, access to the App will be revoked and data handled in accordance with the organization's data retention policy.
  • Acceptance of these terms:
    • By accessing and using the AFC Hub Staff App, you agree to be bound by this Privacy Policy. If you do not agree, please discontinue use of the App and contact your HR representative.
  • Termination:
    • We may terminate or suspend your access to the AFC Hub Staff App for any reason, with immediate effect, including but not limited to violation of this Policy or cessation of employment.
  • Notice:
    • Notices may be served personally, by email, or through the AFC Hub Staff App's in-app notification system to the last known contact address.
  • Communication:
    • Employees may receive communications through the AFC Hub Staff App, including HR announcements, management updates, policy notifications, and messages sent by authorized administrators.
