General Terms & Conditions of Tour Booking

PLEASE READ CAREFULLY THE TERMS & CONDITIONS FOR YOUR PACKAGE TOURS AND OTHER TRAVEL SERVICES PROVIDED HEREIN WHICH CONTAINS VERY IMPORTANT INFORMATION AS THEY SET OUT OUR RESPECTIVE RIGHTS AND OBLIGATIONS. IT IS YOUR RESPONSIBILITY TO ENSURE THAT YOU HAVE READ AND UNDERSTOOD THE VARIOUS TERMS ASSOCIATED WITH YOUR CONTRACT BEFORE PLACING YOUR TOUR BOOKINGS.

About AFC Holidays

We, AFC HOLIDAYS, (referred to as “AFC Holidays”, “we”, “us”, or “our”) is duly registered in the United Arab Emirates (UAE) as Tour Operator acting as “Booking Agent” for local and international Travel Products and services that are not directly supplied by us (Airlines, Hotels, Tour activities, Meals, Cruises, etc.). In these terms and conditions references to our Traveler(s), Customer(s), Client(s), (referred to as “you” and “your”) are to all representatives and persons (including substituted or added person/s at a later date), named on the booking.

Your purchase of any tour package and any related products or services from AFC Holidays constitutes a binding agreement, which you should review prior to your booking along with our Privacy Policy and any other information we brought to your attention before we confirmed your travel plan with us. Your use of this website is expressly conditioned on your acceptance of the following terms and conditions. If you do not agree with any part of the following terms and conditions, you must not use this site.

We act as your Tour package organizer or as an agent to help you to arrange individual Flight only, accommodation only or other separate travel arrangements (“Individual Travel Services”). Our obligations to you may vary depending upon which Travel services & Arrangements you book with us.

We reserve the right to update or amend these Terms and Conditions at any time before and after transactions that may occur due to events beyond our control. An up-to-date copy of these Terms and Conditions is accessible on our website, at www.afcholidays.com.


  • Our Fixed Group Tours which are generated & booked online on our website and offline via our offices, through email, whatsup or telephone communications are sold subject to these Terms and Conditions, as amended from time to time and the contract between you and us shall be governed by the same.
  • All products & services detailed in AFC Holidays (“AFC Holidays”) website and sold to our esteemed clients (“Travelers”) are bound to stipulated terms and conditions and the same shall govern the contract between AFC Holidays and its Travelers.
  • When the booking with AFC Holidays is made (a) you accept our written quotation or travel proposal; (b) you pay the specified non-refundable initial booking deposit or full payment of the tour –if travel date is within time limit; and (c) you will receive the tour booking confirmation via your registered Email address.
  • The binding contract with AFC Holidays commences upon our issuance of the Booking Confirmation that indicates the details of your Tour. AFC Holidays has the right at any time, for any reason to terminate the contract or decline confirmation of your booking and return your deposit as per our sole discretion at any time before tour without assigning reason whatsoever.
  • Please read carefully and understand the contents of the tour itinerary, terms and conditions. On making the booking, the first named person on the booking has:
    (i)The authority to and agrees on behalf of all the person/s detailed on the booking to represent;
    (ii)Acknowledges to read these Booking Conditions;
    (iii) Consents to use of their personal data relevant to completion of details for the tour; and
    (iv.) Accepts financial responsibility for payment of the booking on behalf of person/s named in the booking in totality. No person/s other than those affiliated with AFC Holidays, in writing, has the authority to vary, add, amplify, or waive any stipulation, representation, term or condition in the brochure/ website/ online & offline booking tools.
  • Amount paid towards a Group tour on AFC Holidays cannot be shifted to a customized package. Unused bookings will not be carried forward to the next calendar year.
  • Any Travel Credit Voucher issued against a booking is non-transferable and must be utilized within its stated validity period. The voucher cannot be extended beyond its expiry.
  • Your booking reservation with AFC Holidays shall be confirmed on receipt of the non-refundable deposit which may vary depending on the type of your tour destination.

  • Full payments will be due prior to departure dates no later than the period as advised verbally by the Tour consultant in-charge or as notified in writing on the registered email address listed by the traveler or by the authorized person of the traveler/s.
  • AFC Holidays will issue a booking confirmation, at which point a binding contract is deemed to exist between the Client and AFC Holidays. The booking confirmation will outline the requested package details, including applicable costs, accommodation, flights, and other relevant services.
  • It is the Client’s responsibility to carefully review the confirmation invoice upon receipt and immediately notify their travel consultant of any discrepancies or errors. Failure to report inaccuracies within two (2) days of receiving the confirmation may result in inconvenience to both parties, and AFC Holidays shall not be held responsible for issues arising from delayed notification.
  • If your Tour booking is accepted within 30 days prior to the departure date, 100% of the total tour cost must be paid upfront and immediately. Any delay in payment—whether partial or full—may result in delays in flight ticket issuance and/or visa processing.Following a final reminder notice, failure to respond or make payment will be deemed a cancellation initiated by the Client, without the need for further email or written confirmation. In such cases, applicable cancellation charges will be levied as per the prevailing cancellation policy. Important Note: All initial deposit(s) are strictly non-refundable under any circumstances.
  • At any stage of the booking process, if a Client fails to respond or cooperate to facilitate travel arrangements despite up to three (3) reminders sent via email or other reasonable communication channels, the booking shall be deemed non-responsive and automatically cancelled without requiring any further written confirmation. All amounts paid, including deposits, are non-refundable, and applicable cancellation charges will apply as per the published cancellation policy.
  • Upon receiving your Booking Confirmation and travel documents, please check all details immediately. The lead passenger is responsible for the accuracy of all information for all travelers. Names must exactly match passports. AFC Holidays is not liable if boarding is denied due to incorrect details. Obvious errors may be corrected by AFC Holidays. All travel documents and information are available for download and viewing via the Customer Portal.
  • All Our Tours specified in our range of tours are subject to a minimum participation of paying adult participants. If the minimum requirement to operate a tour is not met, we reserve the right to amalgamate/ amend/ vary/ alter and cancel without incurring liability to compensate in any manner our traveler on which we will advise within 30-45 days before travel date.
  • On the same scenario, Travelers will be given an option to travel individually and not join a group tour if they wish to do so wherein certain services provided for groups will not be applicable. In such cases, we reserve the right to charge supplementary amount as per individual traveler rates.
  • We reserve the right to return your payment and decline to issue a booking confirmation at our absolute discretion. If, after we have given notice of a missed balance payment, we do not receive this balance in full and on time, we reserve the right to treat your booking as cancelled by you in which case the cancellation charges set out below will become payable.
  • We endeavor to ensure that all the information and prices both on our website and in any advertising material that we publish are accurate, however occasionally changes and errors occur, and we reserve the right to correct prices and other details in such circumstances. You must check the current price and all other details relating to the arrangements that you wish to book before you make your booking.
  • We reserve the right to amend the price of unsold tours at any time and correct errors in the prices of confirmed tour/s. Changes and errors can inevitably occur. You must check the price of your chosen travel arrangements at the time of booking.
  • Before you make a booking, we will give you the up-to-date price of your chosen holiday including the cost of any supplements, upgrades or additional facilities, which you have requested. When the price per person is dependent on the number of people in the accommodation and the number of people changes, the price will be recalculated based on the new party size. A separate cancellation charge will be imposed with respect of the bookings cancelled, which will show on the new booking confirmation.
  • Contact AFC Holidays Tour Consultants via Phone call or Set-up Appointment for Face-to-Face Tour Presentation.
  • Upon Agreement with your Tour Consultant, a Formal e-Quotation shall be created and shared with the client via Email, WhatsApp, or any other agreed-upon communication channel which will be valid only within 72-hours for confirmation to proceed with Booking.
  • The e-Quotation shall include pricing details, inclusions, exclusions, itinerary, flight details, and general terms and conditions regarding check-in/check-out times and travel requirements.
  • On acceptance of e-Quotation contents / information, Clients confirms the tour to concerned tour consultants via either Email, WhatsApp, phone call, or in-person visit to our office by paying the required Tour Deposit which amount is depending on Pricing as published on Website per Tour Name/ Departure Date.
  • Upon receipt of payment, your Tour Booking shall be created with unique designated Booking reference number, which you can always refer to retrieve your booking. AFC Holidays collect necessary information from the client, including their email address, as per our Terms and Conditions. The information are then updated under the Booking reference.

In case of a short payment against the booking amount, the balance must be paid within seven (7) days. Failure to do so will result in forfeiture of the amount paid, as per the general terms and conditions of the travel booking.

  • By Cheques: Cheques may be accepted as payment for UAE travelers. Payments made by cheques are not considered “paid”, until fully cleared by our bank and confirmed credited in our bank. Cheque payments can be issued for payment at least 30days prior the Traveler’s Departure Date.
  • Via Western Union: Western Union is acceptable form of payment from locations worldwide, it is easy to send and receive money. Choose to send money in minutes and receive in real time or directly to a bank account

  • Via TABBY App
    • Download the Tabby App & Sign-up. First step, download Tabby App from the App Store or Google Play. Create an Account using your ID and a valid Debit or Credit Card issued by UAE Bank.
    • Choose Tabby at Checkout: After selecting your tour destination package select Tabby as the payment option at checkout.
    • Split Your Payment and Secure your Travel : Your tour payment can be split into four (4) equal monthly installments which are deducted automatically from your Tabby Card available limit.
  • Remittance from other Countries via Banks/Exchange Centre(s): International bank transfers or via Exchange Centre can be processed directly c/o
    • Transfers are prompt or it can take 2-5 business days as standard time frame for many overseas transfers. Please take note that currency rates depends from one bank to another and varies each day. Please check with your bank for the corresponding fees and remittance charges from the Sending and the Receiving Banks. Remittance Fees from the Sending and Receiving Bank would be borne by the Client. Wire Transfers via Exchange Centers by Exchange Centre (i.e. Al Ansari Exchange, Al Fardan Exchange, Wallstreet Exchange), Client shall bear transfer fees.
    • It is only upon receipt of payment by our bank that booking can be confirmed.
  • For Offline & in-store payments made by clients visiting AFC Holidays office, Tour Consultants ensure that the client affixed their e-signatures on Tour Booking page via the AFC Holidays App.

Auto-generated e-mails are sent immediately after payment is made to confirm payment has been received. Online bookings are not confirmed until a personalised e-mail detailing that a booking is confirmed is sent by a member our reservation team.

  • USE OF CREDIT CARD: We accept major credit cards (VISA and MasterCard). Your credit card will be debited when you click on the ‘Book Now’ button. There is a non-refundable booking fee per transaction within UAE and/or outside UAE. Suspicious Card payment transaction may be onhold for security purposes and may result to payment rejection if not justified authorized by the cardholder. Booking confirmation/receipts/ tickets (as applicable) only after approval of your credit card payment/s.
  • REFUNDS TO CREDIT CARD: All Credit Card refunds will processed as per own card bank terms.
  • CARD PAYMENT NOT RECEIVED OR DECLINED: If for any reason your card payment is not received or declined by your bank/credit card company then it would be your sole responsibility to pursue the same and ensure your payment reaches on time.
  • SECURITY: We will take all reasonable measures to ensure the information you transmit to us using the Web Site will remain confidential and protected from unauthorized access. We do not warrant unauthorized access to that information can never happen. To ensure secure online payment and all other transactions of personal data, the Web Site uses a technology called SSL (Secure Socket Layer).
  • Online bookings are processed automatically and it is your responsibility to ensure that all the information you provide including but not limited to the travel details is accurate and correctly entered online for all services arrangements you book with us and/or that passenger information is entered as it appears on the passport/s.
  • We hold no responsibility for any discrepancy whatsoever in the information that you provide or the way it is entered online. You agree that any such discrepancy/error while entering the information or while selecting the arrangements may lead to additional costs which will be borne by you.
  • You must also ensure that the credit or debit card you are using is your own (or, subject to our acceptance, if it is a third party’s you have their express authorization, to use their credit or debit card) and that sufficient funds are available to cover the cost of tour services which you book with us.
  • When a booking is processed (subject to availability) payment will be debited from the card utilized. A confirmation e-mail and receipt will be available to view on customer portal

Documents upon booking confirmation

The client will receive the following documents as proof of their booking with AFC Holidays:

  • Quotation - Includes all relevant details such as pricing, inclusions, exclusions, itinerary, flight details, and general terms and conditions. Provided via Email, WhatsApp, or the Client Portal.
  • Client Portal login details – Shared immediately after booking via registered email address. The portal provides access to all relevant booking information and is also available through the AFC Holidays Mobile App.
  • Payment receipt – Automatically generated and provided for the client’s records, including the client’s email address. Instant receipts are issued for online payments, while receipts for bank transfers, cash, or offline/in-store payments are available within 24 hours of payment.
  • Protection plan receipts (if applicable) – Includes payment receipts for the AFC Travel Shield (ATS) and/or Visa Protection Plan (VPP). Relevant terms and conditions are provided for the client’s reference.
  • Booking Conditions & Terms – A copy of the Booking Conditions and General Terms and Conditions is available on the AFC Holidays website for reference.

AFC Holidays’ reserves the right to amend or cancel a tour booked without assigning a reason. Amendments or cancellation may be due to circumstances beyond our control. In such cases, the client would have the option of travelling individually, but not with the same arrangement as the original tour.

In the event AFC Holidays exercising its rights to amend/alter any tour or holiday advertised in their website after the tour has been booked but before departure, the client shall have the option to continue the tour or holiday as amended/altered or to accept any alternative tour arrangement which AFC Holidays may offer. However, in any of the above cases, AFC Holidays shall not be liable to the client for any compensation or damages or consequential loss or to refund any other expense incurred by the client.

If We Cancel Your Booking:

  1. If we have to cancel your booking we will not cancel less than 45 days before your departure date, except for ‘unavoidable and extraordinary circumstances’, or failure by you to pay the final balance, or because the minimum number required for the package to go ahead hasn’t been reached. If your holiday is cancelled you can either have a refund of all monies paid or accept an alternative holiday of comparable standard from us if we offer one (we will refund any price difference if the alternative is of a lower value).
  2. No compensation will be payable and the above options for either a change or cancellation will not be available if we cancel as a result of your failure to comply with any requirement of these booking conditions entitling us to cancel (such as paying on time) or where a change is a minor one.
  3. We will contact you and you will have the choice of accepting the change or having a refund of all monies paid. You can also accept an alternative holiday, where we offer one (we will refund any price difference if the alternative is of a lower value). We will tell you the procedure for making your choice. Please read any notification of changes carefully and respond promptly as if you do not respond to us within the timescale given your booking may be cancelled.
  4. If you choose to accept a refund then that is the only liability we have and we will not be liable for any further sums, compensation or otherwise and you are advised to adequately insure yourselves against cancellation for any reason.

If We Change Your Tour:

  1. As referred to above, we may have to make changes to and correct errors in advertised and confirmed details and also cancel confirmed bookings which we must reserve the right to do so for reason our trips may require a minimum number of participants to enable us to operate them. If the minimum number of bookings required for a particular trip has not been received, we are entitled to cancel it. We will notify you of cancellation for this reason no less than 30 days prior to departure.
  2. Purchasing an alternative trip from us, of a similar standard to that originally booked if available. We will offer you at least one alternative trip of equivalent or higher standard for which you will not be asked to pay any more than the price of the original trip.
  3. If this trip is in fact cheaper than the original one, we will refund the price difference. If you do not wish to accept the trip we specifically offer you, you may choose any of our other then available trips but you must pay the applicable price of any such trip. This will mean you paying more if it is more expensive or receiving a refund if it is cheaper.

Cancellation of the Tour by the Client:

  • Should the Client wish to cancel their tour, they must notify AFC Holidays in writing. Such notification shall be deemed to have been given to us only on that date of the receipt of the client's letter/email since we can act only on receipt of the same.
  • Reason must be stated for cancellation as it may be covered by their insurance policy. Cancellation will be as per the cancellation policy mentioned in the table (below)and any refund will be processed after deducting from the main tour cost, visa charges, insurance charge and any other tour related cost that AFC Holidays has incurred towards handling the booking.
  • Cancellation due to non-availability of travel documents will be considered only if the documents were applied for through AFC Holidays. The changes to be made in this instance is subject to supplemental charges as applicable. In case the client refuses to opt for another travel arrangement, the cancellation policy schedule will apply as necessary.
  • Cancellation charge is shown as a percentage (below), it is calculated based on the total cost payable by the person(s) cancelling, excluding insurance premiums and amendment charges.
  • In cases such as Medical emergencies, you may be able to reclaim these cancellation charges (less any applicable excess) under your insurance policy. Claims must be made directly to the insurance company, and AFC Holidays accepts no liability for any reimbursement. Cancellation charges are applicable unless you claim reimbursement through your insurance; you cannot do both.
  • As per the booking conditions, AFC Holidays is required to levy the applicable cancellation charges, in addition to any actual expenditure incurred by tour suppliers or other service providers. By making a booking, you expressly agree to and accept this clause.

Cancellation due to Visa Rejections:

  • It is convenient and safe to have the visa applications be made to the concerned Consulates/Embassies through AFC Holidays visa services. Granting or rejecting visas and immigration clearance is the sole prerogative of the concerned sovereign governments.
  • If a client is unable to travel on the tour originally booked by him, due to rejection of visas by the concerned Visa Embassy, the company may in its discretion offer the client an option to postpone his tour arrangement at another available date or change his tour arrangement in totality.
  • AFC Holidays will neither be responsible in case of non-granting of such documents nor liable for any delay, denial or other related act/omission or any loss, expense, damage or cost resulting therefrom. The cost of processing visas is not included in the tour price unless stated otherwise. The stipulated fees of the company shall be payable by the client regardless of rejection.
  • Moreover, if you are unable to travel on the tour originally booked by you because either you could not get your visa in time or due to an error of the part of the embassy / consulate, an in correct visa is issued to you, you shall have the option to postpone your tour to any other future date or transfer your tour to any other tour and in such case the amendment fee for the same shall apply, in addition to cancellation charges. Terms & Conditions shall apply.

Refund policy

  • AFC Holidays has the right to refuse or accept request for refund of its tours/ services by its passengers after considering several aspects of the tour based i.e. the number of participants, the cancellation policies of suppliers (Hotels, Airlines, Embassy, Transport Operators, etc.).
  • For Tour Cancellations with refund claim, cancellation takes effect from the day email notification is received by us, and 7-working days minimum to process the refund otherwise depending on the reason and instances of the reason of refund.
  • There shall be no refund whatsoever, if cause is of Force Majeure, and if the Client does not utilize any of the services like hotels, cruise, meals, entrance fees, optional tours, etc., while on-tour due to personal cause, late attending, health issues, etc. The Client would have to follow the tour program and return to UAE as per the validity of the air ticket. There shall be no refund if Client fails to join at the commencement of the tour or any activities included therein.
  • Refunds shall be processed within 7-15 days from the date refund is submitted, informed and accepted by AFC Holidays representative.
  • The refunds will be processed based on original mode of payment used including transactions made by credit card or via online payment gateway which will be credited back to the Credit card. It is the sole responsibility of the Client to follow up with their own bank to verify credit of refund on their credit cards.

AFC Travel Shield – Book with Confidence

AFC Travel Shield is meticulously crafted to provide our clients with a seamless and worry-free travel experience while ensuring the security of funds paid for their travel. It ensures complete peace of mind by safeguarding the funds paid towards travel arrangements in the event of unforeseen uncertainties or changes.

Key notes:

  • AFC Travel Shield must be opted within 72 hours of booking
  • Payment for AFC Travel Shield is separate and cannot be adjusted against any Travel Credit vouchers (if applicable).
  • Any Payment made for ATS is strictly non-refundable or non-transferrable.
  • Clients who are self-applying for their visas are not eligible to avail of AFC Travel Shield.
  • AFC Travel Shield is not applicable for Super Saver Tours.
  • Amendments such as Cancellation, Name Change, Date Change, and Tour Change are permitted if requested up to 45 days prior to departure, depending on the plan opted.
  • All cancellations or amendments under AFC Travel Shield are permitted only once per booking.

Terms & Conditions of AFC Travel Shield:

  • Except the reasons specified above , no other reasons will be considered for ATS coverage.
  • Cancellations due to Visa Rejection (under Gold or Platinum) will be auto-converted into a Travel Credit Voucher, after deducting visa charges, insurance or other misc travel expenses.
  • The Travel Credit Voucher can be used only for AFC Holidays Group Tours published on our website. Once a Credit Voucher is issued, Name Change is not permissible.
  • If the tour is cancelled due to Personal reasons (change of plans, job loss, etc.), AFC Travel Shield cannot be applied. Standard cancellation policy will apply.
  • In the event of medical conditions, travelers (who booked to travel) can opt for Travel Insurance for refund claims by submitting required documentation to the insurance company. ATS will not cover Medical conditions.
  • If a refund is requested, 50% of the refund is permissible, and the remaining amount will be issued as a Credit Note (7% admin charges will apply on the total amount of credit note).
  • Clients who has availed the AFC Travel Shield, Cancels the tour and decides to not travel at all, the cancellation Policy specified in T&C will be applicable.
  • For cancellations less than 35 days before departure (Gold Plan), the standard cancellation policy will apply.
  • In cases of special offers/ promotions/ schemes, the terms and conditions of the campaign will apply in addition to these terms and conditions. You shall adhere to the payment terms and schedule prescribed under such offers, promotions or schemes in order to be eligible to avail its benefits. Failure to comply with the payment terms invalidates eligibility for the benefit of these campaigns otherwise counted valid as soon as you chooses to travel. Once chosen, the respective special offers/promotions/ schemes cannot be changed or compensated and can be utilized within the calendar year of the booking.
  • Any Discount availed are non-transferrable nor cannot be combined with any other tour offer within the same tour booking.
  • Any additional new tour package, tour changes or additional passenger on original tour booking made after the discount period validity will deem the discount void and discount validity non extendible.
  • Any discounts from AFC Holidays are subject to availability and can be revoked without any prior notice.
  • Travel Dates on Super Saver Deals are on Limited Seats Basis only.
  • Bookings on Super Saver Deals are 100% non-cancellable/non-transferable/non-flexible & non-refundable.
  • Bookings that are waitlisted on Super Saver travel date requires 100% full payment for confirmation.
  • Due to demand, if your desired Super Saver travel date is not available, next available date on same price or at a minimum possible surcharge applicable, if any.

Any request following under below will be subject to surcharges and availability:

  • Name / Date / Tour Change Flexi Fee of AED 500 up to AED2000 per Person (depending on Tour Package) + Visa+ Insurance+ Other Travel Related Cost incurred, if applicable per request, which needs to be informed 45 Days or more before the Tour Departure Date. Name / Date / Tour Change requests, 45 days or less of tour departure, Cancellations policy terms, applies.
  • Transfer from longer duration tour packages to shorter tour duration packages(Tour Downgrade), Flexi Fee of AED 500-AED 2000 per Person applicable (depending on Tour Package), if 45 Days+ before the Departure Date. Tour transfers less than 45 days incurs 100% cancellation penalty.
  • Change of Airline before Tour departure (not applicable once services are issued).
  • You can login to your AFC Holidays personal customer online portal account to receive and view all your travel documents (i.e. e-tickets, insurance copy, hotel & travel service vouchers, etc.) which will be uploaded upon completion of full payment for the tour booking before your tour departure.
  • We advise clients about passport and visa requirements applicable for travel to have sole responsibility to hold and carry valid travel documents including Passport which must be valid for six months after your intended date of return with all required visas and immigration clearance (if applicable), confirmed air tickets, documents confirming insurance to cover risk to life, limb and property for the duration of the tour, medical clearances, inoculation/vaccination certificate set etc. as the case may be to be able to travel as per your tour itinerary.
  • You must ensure you have tickets to ensure that all the names and details are correct and correspond with their passport/s information visa and health entry requirements for all countries visited including countries you may just be transiting through. This includes all stops made by the aircraft even if you do not leave the aircraft or airport. If your passport is in its final year, you should check with the Embassy of the country you are visiting.
  • AFC Holidays will not be liable if the client/s fail to do so and will not be responsible for meeting any additional costs incurred by this. On receipt of travel documents, the clients have a responsibility to check all documentation and AFC Holidays bears no responsibility whatsoever if the tour is impacted due to insufficient travel documents.
  • We do not accept responsibility if you cannot travel because you have not complied with any passport, visa or immigration requirements for any part of your holiday. Failure to have any necessary travel or other documents results in fines, surcharges or other financial penalty being imposed on us, you will be responsible for reimbursing us in full.
  1. Passports & Visa Requirements
    • You are responsible for checking all passport, visa and health requirements and ensuring your travel documents are in order. The emergency contact number for the traveler/s must also be specified in case of emergency. You must consult the relevant Embassy or Consulate for any change and you should check the up-to-date position in good time before booking/departure. We accept no liability if you are refused entry onto the flight or into any country due to failure on your part to carry the correct passport, visa or other documents required by any airline, authority or country.
    • Should your visa application be refused for any reason and you wish to cancel your booking the cancellation charges are applicable. An express visa process is available for an additional cost depending on the country of visit.
    • We make no promises that your Visa application will be successful and we cannot accept bookings conditional on the issuing of a visa, or payment of the balance of the holiday cost (see clause 4) to be deferred until visas have been issued. It is your responsibility to check that you comply with all entry, passport, visa, immigration requirements and health and safety formalities applicable for your itinerary.
  2. Visa
    • Clients will be required to promptly furnish to all documents required for application of your visas within 72 hours upon booking confirmation which can be uploaded thru the Customer portal. Visa Assistance and guidance services fees are applicable to prepare documentation and form filling of tour visa for submission to Embassy/Consulate.
    • If visa is rejected you do not get your visa, you shall be liable to pay the applicable charges. If you already possess a visa or wish to do the visa / s on your own, you would be entitled only for the refund of actual visa/s cost and the portion of charges attributable.
    • Given the cautious approach adopted by embassies and consulates, visa processing may sometimes take longer time. Please note that if the rejection of visa is intimated by the embassy / consulate within the cancellation period specified in the section titled CANCELLATION OF TOUR BY CLIENT then the cancellation charges as appearing in that section would apply.
    • Should you choose to re-apply after visa rejection, then you shall do so at your own risk and cost. If the visa is rejected a second time, the applicable cancellation rates shall be based on the date of receipt of intimation of the rejection of second visa application and so the charges will be much higher than the rates which would have applied on the first rejection.
    • Should we not receive any intimation from the consulate / embassy either accepting or rejecting a visa application before the departure date of your tour, the maximum cancellation charges shall apply. It is made clear that the cancellation charges shall apply in addition to the retention of visa service charges.
  3. Tour Itinerary
    • Your Tour Itinerary is a guide to which we will attempt to adhere, but it may be necessary to alter this at short notice as a result of circumstances or events outside our control such as adverse weather or road conditions or any of unforeseen events (force majeure).
    • A Force Majeure event is defined to include any road and weather conditions, security or public health concerns such as Covid, strikes, government travel restrictions or travel advisories.
    • Your itinerary will, however, be the same in content as far as is reasonably possible, unless circumstances beyond our control make this impossible.
    • AFC Holidays (and it’s supplier service providers) reserve the right to change, delete, cancel or alter holidays itineraries, vehicle types, vessel tours, cruises, activities, transfers, flights, accommodation or other group travel arrangements are subject to change without notice.
  4. Service Vouchers
    • Service Vouchers are provided via Client Portal, including Air Tickets, Hotel Vouchers, insurance, Visa, itinerary and train tickets (if applicable), approximately 5 to 7 days prior to departure, provided that all payments and documentation requirements are completed on time.
    • Failure to adhere to the required timelines may result in delays in issuing tickets, visas, or permits, and may lead to cancellation of your tour with applicable cancellation charges.
    • Important and emergency contact numbers are printed on the Hotel Voucher(s) and/or Itinerary provided to you.
    • In some cases, the Tour Manager or company representative upon arrival at your destination may hand internal flight, train, or hotel vouchers to you.
  5. Pre/Post Services
    • If you wish to travel in advance or return at a later date after the tour ends and are travelling on an air ticket issued by us, your request for pre/ post tour accommodation / add on packages or extensions, etc. are available to you at special rates.
    • You must pay the applicable difference between the group airfare within the package holiday tour cost and the market airfare for the changed sector. The same will be quoted as applicable per person, per sector, per change depending on the airline and tour supplier or hotel (subject to availability of seats and ticket validity).
  6. Airline Tickets
    • Non-Transferable & Validity: All airline tickets are non-transferable and valid only for the dates and routings shown. A no-show for a flight will result in the forfeiture of the ticket. Clients are responsible for the full cost of a replacement ticket and any changes that may occur.
    • Verification of E-Tickets: Clients must notify AFC Holidays if their e-ticket has not been received. It is essential to verify all e-ticket details immediately upon receipt. Any voluntary cancellation after ticket issuance will incur the airline’s cancellation fee plus the agency service fee.
    • Flight Overbooking: Even if your ticket is confirmed, airlines may overbook flights. In such cases, passengers may be accommodated on a subsequent flight. AFC Holidays cannot be held responsible for such changes. Clients are advised to arrive at the airport 3–4 hours prior to departure.
    • No-Show Policy: Tickets are strictly non-refundable for no-shows. Both outbound and return tickets may be automatically cancelled by the airline.
    • AFC Holidays is not liable for:
      • Loss of baggage
      • Denied boarding or seat downgrades due to overbooking
      • Flight delays, rescheduling, cancellations, rerouting, or changes of airline
      • In-flight meals or services
      • Any inconvenience or injury caused by airline operations

    Clients should pursue claims directly with the airline. We strongly recommend obtaining travel insurance (e.g., via AFC Holidays’ provider) to cover such losses.

    • Flight Delays or Cancellations: A delay or cancellation does not automatically entitle clients to cancel any other travel arrangements. AFC Holidays is not responsible for costs incurred due to flight schedule changes, cancellations, or changes of departure airport.
    • Group Tour Seating: Group tours are operated with group seating arrangements. Clients must check their boarding passes and review companion seating. Any request for specific seats should be made at the boarding counter.
    • Airline Seat allocation: Seat allocation is a matter of airlines discretion and availability of seats which is not in the control of AFC Holidays. However, options are available to choose the preferred seat with a fee depending on the convenience of your seat preference. Hence, AFC Holidays shall not be liable if you do not get seats together or do not get your preferred seats.
    • Airline Baggage: All airline tickets come with baggage restrictions or no free baggage allowance. Please check directly with your airline for up-to-date baggage rules as additional fees may apply and are the responsibility of the passenger.
    • Meal Preferences: There is a pre-set menu for meals depending on the tour program. Packed meals are served at some places. AFC Holidays reserves the right to change the menu and arrangements of the meals without assigning any reasons. Specific meal preferences can be made on request basis and may incur applicable surcharges, if any.
  7. Hotels
    • AFC Holidays have selected hotels which are comfortable and convenient. AFC Holidays prioritizes booking a hotel at or close to the city center, however, subject to availability and travelling time, and in some areas, hotels can be located outside the city.
    • The hotels chosen are as specific mentioned in tour itinerary or similar category. Tour package prices include accommodation plus roundtrip airfare for travel during the stated period. Prices are per person, based on double occupancy at hotel and lowest available airfare, inclusive of taxes and fees.
    • Prices will vary by date, departure city, and availability. Additional restrictions including minimum stay, blackout dates, available room types and advance purchase may apply.
  8. Check-in/Check-out Time
    • The general standard check-in time is 2PM and check-out time is at Noon. (This may vary depending on hotel policy). Early check-in and checkout, will be subject to availability and cannot be guaranteed. Accommodations on all tour itineraries are based on double occupancy/twin share and include taxes and hotel fees. Additional restrictions including minimum stay, blackout dates, available room types and advance purchase may apply.
    • AFC Holidays cannot guarantee the availability of adjoining rooms / inter-connecting rooms/ non-smoking room/rooms on the same floor, etc. depending on availability in the hotel. If the client seeks a change in rooming while on tour, the same will be subject to availability and they will need to pay any additional charges if applicable.
    • Due to prevailing weather conditions in Europe, most of the hotels do not have air-conditioners or fans. AFC Holidays will not be responsible for any damages made by the client/s to the hotel property. However, diligent care must be observed when using the hotel lockers/refrigerated items/telephones/television, restaurants, etc. Usage of certain services may be chargeable.
    • Maximum occupancy in Double room is 2-persons, wherein in some countries the double room would consist of two (2) twin beds put together. In this case, adult rates will apply across the booking for each double room occupied. The hotel may allow the addition of extra bed based on the standards applicable in the operating countries. Extra bed occupancy will vary depending on establishments. Clients may be provided with extra bed as roll away bed/ sofa or bed/ extra bed as per the hotel operating standards in the country. The Clients' accommodation will be based on twin and triple sharing basis if they wish to travel single then there will be an additional surcharge. Due to major international events and trade fairs occurring through-out Europe (i.e. Air Shows, World Athletic Tournaments, Motor Shows, etc.) Hotel occupancy is at its peak and may have been blocked for a year in advance. Due to this, some hotels may be farther from the city/ Itineraries may be altered or amended accordingly.
    • Passengers need to be very careful of pickpocketing as it's a common observation made by the passengers travelling to Europe. AFC Holidays will not be responsible for any loss or theft of any personal items; thus, clients are recommended to be liable for their personal belongings inside or outside tour accommodation premises.
  9. Solo Passengers
    • Solo passengers have a few options while booking a tour. All prices are based on double, twin or triple share occupancy. If you are traveling alone and wish to share accommodations, a roommate will be assigned to you whenever possible. When pairing roommates, we will always pair participants of the same gender.
    • If it is not possible to pair you with a roommate, you may be asked to pay a single supplement for the land portion of the program.Solo passengers not wishing to pay a single supplement will be accommodated in a double, twin or triple room according to availability with a passenger(s) of the same gender. The single supplement need only be paid if a room to oneself is requested and is additional to the tour fee. Single rooms have limited availability in most hotels.
  10. Behaviour & Punctuality on Tour
    • AFC Holidays will not be liable in any circumstances to a traveler/s’ missed activities on tour if due to their own culpable reason for delay nor shall be entitled to claim for any refund in part or in full. As a traveler in good faith, you are expected to abide by the tour itinerary and observe discipline on punctuality at all times during entire period of a tour.
    • We reserve the right to refuse to accept you as a customer on our active ongoing group tour if in reasonable opinion of our tour leader/guide who represents AFC Holidays or co-traveler recognize and put on record that you have a behavior that is disruptive, causes inconvenience, is threatening or abusive, you damage property, you upset, annoy, disturb, discriminate against or put any other traveler in any risk or danger, on the telephone, in writing or in person, impacts on others clients’ enjoyment of the holiday or is causing or likely to put any other traveler on any risk, we may terminate remaining of your tour services without any liability on our part.
  11. Tips and Gratuities

    Tipping is mandatory in all parts of the world for services rendered (e.g. porters, coach drivers, tour leaders, guides etc.). The amount would depend on the country of travel. Driver’s tips will be paid in AED to AFC Holidays depending on country of destination, as applicable. Travelers may also extend voluntary & individual tips at end of every tour.

  12. Insurance

    Any traveler must be covered by a certified travel insurance as a condition of your contract with AFC Holidays which you may take the holiday insurance offered by us or arrange it independently. The insurance must cover costs that may arise which includes risk of life, limb, property, cancellation charges, unexpected events on your holiday, medical and repatriation expenses including air ambulance, personal accident, delay loss or damage to your personal effects for the entire duration of the tour. AFC Holidays will not be responsible for costs you may incur as a result of not having valid or adequate travel insurance wherein failure to do so may result in an insurance claim being reduced or declined. Depending on the reason for cancellation, you may be able to reclaim these cancellation fees under the terms of your insurance policy. Claims must be made directly to the insurance company concerned.

  13. Special Requests, Health & Medical Problems

    If you have any special requests, please advise us at time of booking. Although we will endeavour to pass any such requests on to the relevant supplier, we regret we cannot guarantee any request will be met. Failure to meet any special request will not be a breach of contract on our part. If you have any medical problem or disability which may affect your arrangements, you must advise us in writing before of booking giving full details. Regrettably, many overseas destinations do not have even basic facilities required by disabled travellers. If we feel unable to properly accommodate your particular needs, we must reserve the right to decline/cancel your booking, and charge any applicable cancellation charges.

    Any special requests must be advised to us at the time of booking e.g., diet, room location, a particular facility at a hotel, etc. You should then confirm your requests in writing. Whilst every effort will be made by us to try and arrange your reasonable special requests, we cannot guarantee that they will be fulfilled. The fact that a special request has been noted on your confirmation invoice or any other documentation or that it has been passed on to the supplier is not confirmation that the request will be met. Failure to meet any special request will not be a breach of contract on our part unless the request has been specifically confirmed by us. We do not accept bookings that are conditional upon any special request being met.

  14. Fitness, Medical Conditions, Disabilities & Illness

    Please note that our tours coverage areas are outlined clearly in the tour specific Detailed Itineraries. It is your sole responsibility to ensure that you are fit and well to join the tour, without any adverse effect on the overall group or tour operation. You should check that your proposed areas of travel are suitable dependent on your own health, including any medical condition and/or disability that you may have. If you or any member of your party has any medical condition or disability which may affect your holiday), please tell us before you make your booking so that we can assist you in considering the suitability of the arrangements. Dietary allergy requests must be made at time of booking and will be passed on to the relevant supplier. If we are unable to properly accommodate the needs of the person(s) concerned, we will not confirm your booking or if you did not give us full details at the time of booking, we will cancel your booking and impose applicable cancellation charges when we become aware of these details.

    A medical examination (and clearance from your doctor) is recommended for those travellers with health issues or who are elderly. Some tours, cruises and holidays are to remote areas and passengers on medication should take an ample supply with them. No responsibility can be accepted for accidents, illness or misadventure or loss of goods or possessions and it is strongly recommended that adequate insurance can be taken out to cover against those.

  15. Sickness Policy

    In case circumstances arise while on tour, If due to illness or failure to satisfy medical requirements (for example compulsory vaccinations or testing) we or any of our suppliers refuse to transport or accommodate you, we may reasonably exclude you from commencing or continuing the trip. In this situation we will provide you with reasonable assistance to make alternative travel arrangements and where possible to rejoin your group when medically cleared to do so. This will be at your own cost and you should contact your travel insurance provider immediately. Note that we will not be liable to refund the cost of your trip (or any part of it) under these cases.

We reserve the right to randomly record telephone calls delivered by our customer service before tour, while on tour and after tour for feedback about your tour experience.

If, whilst you are on holiday, you find yourself in difficulty for any reason, we will offer you such prompt assistance whatever is appropriate in the circumstances. We make every effort to ensure that your Package holiday arrangements run smoothly so it important to us that we are given the opportunity to resolve any issues that you may encounter during your holiday. This means addressing any issues immediately and carefully so they do not affect the rest of your holiday. If you do have a problem during your holiday, please inform the relevant Tour Leader or Tour Guide or the representative of the Hotel in issues of accommodation immediately who will endeavour to put things right.

If any circumstances arise while on tour or from any of the services included in your holiday that need assistance whilst away, you must inform immediately your Tour Leader or Local Guide on Tour. On non-urgent issues you may email our Customer Services team: consumerrelations@afcholidays.com without undue delay who will endeavor to put things right. Only the lead name should write to us specifying the tour booking for easy references.

Excursions/ Third Party Tours

Excursions or other third party tour/s or activities that you may book or pay for whilst you are on our holiday are not part of your package & holiday provided by us. For any excursion or other tour that you book, your contract will be with the operator of the excursion or tour and not with us. We are not responsible for the provision of the excursion or tour or for anything that happens during the course of its provision by the tour operator. You acknowledge and agree that any liability for loss, damages, death, personal injury, illness, emotional distress, mental suffering or psychological injury or loss of or damage to property associated with Optional Extras is the sole responsibility of the third party providing that service or activity.

Authorization to Use Photographs and/or Audio-Visual:

The Company may use, reproduce, and/or publish photographs and/or video that may pertain to me— including my image, likeness, and/or voice without compensation. I understand that this material may be used in brochures, e-mails, and online to promote AFC Holidays and its product offerings.

The Client consents and agree that, while participating in any Tour, images, photos or videos may be taken taken of the Client during the tour or shared on Facebook, Instagram, Youtube, Tiktok social media accounts for advertising and promotional purposes in any media we choose. The Client grants AFC Holidays a perpetual, royalty-free, worldwide, irrevocable licence to use such images for publicity and promotional purposes.

DISCLAIMER

The services provided to you on our website (“services”) and all information, content, materials, products (including software) and other services included on or otherwise made available to you through the services are provided by us on an “as is” and “as available” basis. We make no representations or warranties of any kind, express or implied, as to the operation of the services, or the information, content, materials, products (including software) or other services included on or otherwise made available to you through the services. You expressly agree that your use of the services is at your sole risk. B. To the full extent permissible by applicable law, we disclaim all warranties, express or implied, including, but not limited to, implied warranties of merchantability and fitness for a particular purpose. We do not warrant that the services, information, content, materials, products (including software) or other services included on or otherwise made available to you through the services, our servers or electronic communications sent from us are free of viruses or other harmful components. We will not be liable for any damages of any kind arising from the use of any service, or any information, content, materials, products (including software) or other services included on or otherwise made available to you through any service, including, but not limited to direct, indirect, incidental, punitive, and consequential damages.

  • DISCLAIMER FOR THIRD-PARTY APPLICATIONS. You accept that: A. By clicking on the CONFIRM AND PROCEED button ("Pay Button") you will be transferred to a payment portal which is controlled and operated by a third party ("Third-Party Application"); B. The use of any Third-Party Application is subject to the terms and conditions that apply to such Third-Party Application and it is your responsibility to read, understand and comply with any such terms and conditions. C. we are not responsible for the availability or performance of, or your use of, any Third-Party Application. You assume all responsibility and risk concerning the use of any Third-Party Application (including any content therein) and we hereby disclaim all liability to you or any third party concerning such use.
  • PERSONAL DATA. Notwithstanding our Terms and Conditions & Privacy Policy, you acknowledge and accept that the personal and credit card details provided by you when making the Payment ("Personal Data") shall be transmitted to an independent third party for processing and completing the Payment and any Standing Instructions. You acknowledge and accept that the transmission to, and the use of such Personal Data by, the third-party processor shall not be deemed a breach of our Terms and Conditions & Privacy Policy and you hereby waive, disclaim, and release us and our officers, directors, employees, agents, successors, and assigns, from all claims of any kind (specifically including all claims for actual, incidental, consequential, punitive or exemplary damages, attorneys’ fees and costs, or claims for interest, even if we are advised of the possibility of such damages), related to, or arising from, directly or indirectly, your use of the payment portal and any transmission and use of the Personal Data.
Limitation of Liability/ Acknowledgment of Risk /Force Majeure

Travel disruptions can be unforeseeable and oftentimes appear imminent which can include delays, suspension, re-routing, alterations and cancellations to flights, cruises, tours, transfers, transportation and other travel arrangements. In addition, you should recognize, understand and acknowledge that in connection and in participation to any tour itinerary in any trip/ destination, any recreational activities arranged by us may involve risk, danger and hazards. Any expense as a result of any travel disruptions or any postponed, deleted, cancelled or altered travel arrangements will always be at the passenger's cost. In no event will AFC Holidays be responsible for incidental, consequential or special damage or loss suffered by any person/ traveler due to these travel disruptions. Maximum liability claim, for any reason whatsoever, will be limited to amount paid for its tour services. If travelling on a Land Only basis, our responsibility commences with the start of the first service listed on particular itinerary joined only.

Except where otherwise expressly stated in these Booking Conditions, if our contractual obligations to you are affected by Events Beyond Our Control (Force Majeure). This means any event beyond our control, the consequences of which could not have been avoided even if all reasonable measures had been taken. Events include warfare and acts of terrorism and its threats, civil strife, significant risks to human health such as the outbreak of serious disease such as epidemics, pandemics or natural disasters (floods, earthquakes or weather conditions that makes it impossible to travel safely to destination, the act of any government or local authority including labour strikes, unavoidable technical problems with transport and all similar events outside our or the supplier(s) control.

  • Governing Law and Jurisdiction. These Terms & Conditions shall be governed by, construed and/or interpreted in accordance with the laws of United Arab Emirates.
  • Compliance with laws. It is also your responsibility to comply with the laws, customs, foreign exchange and the drug regulations of the countries visited. We and/or our representatives reserve the right to cancel your holiday at any time if in our reasonable opinion you are found to be behaving in a socially unacceptable manner or indulging in illegal activities, without any liability to you for any refund and legal claim.
  • Assignment. We may at any time assign any of our rights and/or obligations under these Terms & Conditions, in whole or in part, without notice to you. You may not assign any of your rights or delegate any of your obligations under these Terms & Conditions. Any purported assignment or delegation in violation of this section of these Terms & Conditions is null and void.
  • No Waivers. The failure or delay by us to exercise or enforce any right or provision of these Terms & Conditions will not constitute a waiver of future enforcement of that right or provision. The waiver of any right or provision will be effective only if in writing and signed by a duly authorized representative of AFC Holidays.
  • No Third-Party Beneficiaries. Save and except as expressly provided otherwise in these Terms & Conditions, these Terms & Conditions are for the sole benefit of each of us and you, and nothing herein, is intended to or shall confer upon any other person any legal or equitable right, benefit, or remedy of any nature whatsoever, under or by reason of these Terms & Conditions.
  • Severability. If any provision of these Terms & Conditions is deemed to be invalid, illegal, void or unenforceable, then such provision shall be severed from these Terms & Conditions and shall not affect.
  • Entire Agreement. Our Travel Booking confirmation email(s), these Terms & Conditions, our Website Terms and Conditions of Use, and our Privacy Policy will be deemed the final and integrated agreement between you and us on the matters contained in these Terms & Conditions.

Both Parties agree that you may acknowledge and agree to these Terms & Conditions:

(i) electronically ; (ii) by handwritten Signature; (iii) by any other electronic means, including without limitation acknowledgment through the submission of an electronic form; or (iv) by your implied consent deemed via your actions which shall include without limitation the payment of an Invoice and/or your use of the services provided by AFC Holidays related to your Travel Booking. All such means will be deemed to constitute effective acknowledgement and execution of this Agreement and shall be sufficient to bind the parties to the Terms & Conditions and conditions of this Agreement.

My Signature herein expressly Confirm, read and understood the Terms and Conditions for the Travel package. I acknowledge that these terms and conditions affect my legal rights and agree to be bound by their terms.
